Meeting Notes

Tonight is a Business Meeting.

Currently Board of Director's Meetings are held just before and on the same night as the Monthly Club Business Meeting.  This does not allow enough time to digest and efficiently report the Boards' actions.  So starting next month, the Board of Director's Meeting will be held one week before the Business Meeting.

Budget Discussion:

Lynn Wozniak handed out summaries of the proposed budget for this Rotary year.  Each member was mailed a copy beforehand and copies were handed out at the meeting.  The budget is split into 2 major areas of revenue and expenses:  Administration and Fundraising.

  • Discussions regarding Administration elements:  (1)  There was an increase in expenses for last year's Past President pins because 2 pins were purchased to jump ahead of expected increasing costs.  During discussion, it was discovered that Lynn Wozniak never received her pin after her recent year as President.   The club voted to fix this error and will present the "extra" pin to Lynn at an upcoming meeting.  (2)  Need to add Installation Dinner as a line item.  (3)  The Admin section ended up in the black last year due to a rebate from the District and lower costs in other budget lines.  The Budget for next year is basically break-even.
  • Discussions regarding the Fundraising elements:  (1) All Pasta Dinner revenues and expenses will be handled through the Irondequoit Rotary Foundation (IRF) from now on.  At the conclusion of all activity, IRF will issue a check for the profits to Irondequoit Rotary Club.  This is a cleaner way to proceed and will result in less inefficiencies in operations.  IRF President Bob Scheidt will create a Memorandum of Understanding to document this change.  This same procedure will be used for all future club fundraising events as well. (2) Club voted to raise budget item for Holiday Baskets to account for higher food costs.  Prez Dan volunteered to work on obtaining food donations from suppliers to alleviate these costs.  (3) There were some small changes to the District Matching Grant budget line.  (3) Interact Club expenses were noted to be high possibly due to start-up year unknowns.  This will be monitored closely this year.
  • The budget as proposed with the minor changes mentioned above was approved by vote of the club.
Treasurer Position:  The Board has approved a motion to make the Treasurer position a TWO year term.  Reasoning is that the position is so challenging that the Treasurer is just getting comfortable with the job at the end of the first year.

Club Banking:  All checking and savings accounts will be moved to Canandaigua National Bank.   This will result in higher interest returns on our savings.

Application for Membership Approved by the Board:  Issac Elliot, Volunteer of America Housing Case Manager.

Prez Dan will send out a club survey to determine member needs regarding speakers and club events, satisfaction, etc.

Bob Scheidt will send an email soon after his committee meets on Pasta Dinner activities.

Durand Project:  All materials are ready to go and several work events have been scheduled.  See club calendar for more info.

Big thanks to Lou DiPrima and ROBERT Spatola for their great work on the new audio system installed at the Sicilian Sports Club.  Sounds very PROFESSIONAL.

Dictionary Project:  Books have been ordered.  A smaller number of books were ordered due to declining enrollment in 3rd grade this year.  Every 3rd grader in Irondequoit gets a Dictionary from this annual club project.

Strategic Plans:  The Board of Directors will review the work done 18 months ago and will review plans with the club after the Pasta Dinner is over.
